Privacy Policy

1. Basic concept

The National Diet Library (NDL), as the operator of the National Diet Library Great East Japan Earthquake Archive website (https://kn.ndl.go.jp/, also known as the HINAGIKU website), makes every effort to protect the privacy of users while ensuring smooth operation of the services provided.

All data collected by the HINAGIKU website is handled in a manner suitable to the purpose for which it was collected.

2. Scope of application

This policy describes the purposes for the NDL collecting "personal data" (information relating to individuals handled on this website, including browsing history and other usage data) is collected and the manner in which that information is handled in connection with the use of this website.

The HINAGIKU website is operated and managed by the National Diet Library.

3. Purposes for collecting and handling personal data

3.1. Processing of personal data relating to visitors to the HINAGIKU Website

3.1.1. Types of personal data and purpose of collection

This website automatically collects the following personal data of users:

  • Source URLs (Referrer URL)
  • IP addresses
  • Activity history on the HINAGIKU website (access date/time, search keywords, session information, accessed URLs, etc.)
  • Device information (browser and OS type/version, etc.)

Personal data collected are used for reference to assist in work performance and improvement of services involved in the operation of the HINAGIKU website and used to produce statistics on the habits of its users, to prevent unauthorized use and for security.

3.1.2. Handling of Personal Data

The HINAGIKU website uses proprietary statistical functions and Google Analytics for access analysis.

The proprietary statistical functions analyze access logs to produce usage statistics, such as the number of page visits, and to measure usage patterns of NDL website patrons in a manner that does not identify individual patrons.

Access analysis using Google Analytics extracts data in a non-personally identifiable manner and performs statistical analysis. This analysis is not used to categorize patrons. Access analysis is conducted on a statistical basis only, without extracting personal data or analyzing in a manner that identifies individual users.

3.1.3. Retention Period

The NDL retains personal data for as long as necessary to fulfill the purposes for which it was collected and handled, as stated in 3.1.1.

Personal data is retained for no more than 14 months, after which it is deleted. This retention period is necessary in order to prevent unauthorized use, to implement security measures, and to conduct access analysis.

3.1.4. Cookies and Their Purpose

The HINAGIKU website uses cookies, which are small text files that are stored on users' devices (smartphones, tablets, PC, etc.) when users visit the HINAGIKU website.

Strictly Necessary Cookies: Always Enabled

Necessary cookies enable core functionality such as security, network management, and accessibility.

These cookies are also necessary to prevent unauthorized access and detect and mitigate potential security threats.

3.2. Processing of personal data relating to inquiries to the HINAGIKU website

If you have any inquiries regarding the HINAGIKU website, please contact us through “6. Contact Information.”

Personal data including names and email addresses processed through your inquiry will be used solely for the purpose of addressing inquiries and as reference for future initiatives. Additionally, we may use email addresses or similar contact information to respond to inquiries or contact you.

4. Measures to ensure security

The NDL takes necessary and appropriate measures to prevent the leakage, destruction, or damage to personal data that has been collected, and to otherwise manage it safely.

Personal data is not used for any purpose other than those described above. Nor does the NDL provide personal data to third parties, except in cases of legal requests for disclosure, malicious access as well as other unlawful acts and threats, or other exceptional circumstances.

The NDL publishes statistical information that has been processed in a non-personally identifiable manner.

5. Revision of this privacy policy

This Policy is subject to change.

Users will be notified on this site in the event changes to the policy have been made. In this case, users' future visits to the HINAGIKU website will be subject to the updated policy.
